Headphone Meet LAX Hilton Planning Thread

LOWER LOBBY:

NOTES:
  • Everyone will be required to wear tags
  • Will volunteers for security detail to check
  • Parking will be discounted at $12/day
HELP NEEDED / TO DO
  • Will need "security" detail volunteers to check
  • Check-in, handing out of tags and parking discounts
  • Obtaining and printing tags
  • Projections, vendor fees, and final pricing for attendees
CONSIDERATIONS:
  • Student discount
  • Entry fee = one raffle ticket (if there is a raffle)
  • Vendors - Fee or raffle item
  • Vendors - Raffle items - get list advance
  • Presentations? (Don't even want to think about this yet)

COST ANALYSIS

With 80 six foot tables fully with power, the event will be $4K including taxes and service charges.

This event will break even with 200 attendees at $20 per ticket. Personally, I'm willing to risk $1k of my own money.

We will have more leeway if we charge vendors a little bit more, like $75 per table (which includes power).

How are you planning on managing registration, payment, and collection of attendee/vendor info, etc. ?

  • Were you considering an outside firm for security
  • Will hotel provide security
  • All off the above
  • None of the above
Are these appropriate questions here, or should these logisitcal specifics be discussed in facing meetings only?

ToiletJam?  :P Nah I don't think everybody would get it.

Is $4k the initial price they quoted or have you haggled yet?  Is that the price for the entire lower lobby?  If so, how much would it be without the ballroom?  I'm guessing that's adding a lot to the cost and I can only imagine us doing the raffle there.  We can always do the raffle in the halls like the NorCal meets. 

Also, $75 per vendor still seems pretty cheap, especially for a big meet like this.  I think they usually pay more.

The hotel has its own "security". It more a matter of us enforcing and making sure people in the area have their tags on. And procedures to resolve it... "This is private event" and calling hotel security if necessary. I will need someone I can trust with the money. Would be people who I can trust.

I was trying to fit 50 tables into B,C, and D, but Elena (the rep) said that only A was big enough to fit that many.
